The 3-Question STR Tech Stack Audit
A simple framework to evaluate whether your tools are helping or hurting your operation.
Most STR operators accumulate tools over time. Someone recommends an app, you sign up, it solves one problem... and eventually you're paying for 10+ subscriptions. Here's how to audit your stack.
Question 1: Does this tool eliminate work or just move it?
A good tool eliminates a task entirely (via automation or better workflow). A bad tool just moves the task to a different app—often adding more steps in the process.
- Example of good: Auto-messaging that handles 80% of pre-check-in questions
- Example of bad: A maintenance app that still requires you to manually enter every work order instead of pulling from your PMS
Question 2: Does your team actually use it consistently?
If your team bypasses the tool or uses it inconsistently, it's not solving the problem—it's adding guilt and subscription cost.
- Check your login analytics: when was it last used?
- Ask your team: 'If I canceled this tomorrow, would you miss it?'
- Look at workarounds: is your team using spreadsheets because the tool is too clunky?
Question 3: Can you clearly explain what it does and why you need it?
If you can't articulate the tool's purpose in one sentence, you probably don't need it—or you're not using it right.
- Good: 'This is our PMS—it's the single source of truth for reservations and guest data.'
- Bad: 'Uh, I think it's for... analytics? Or was it reporting? We signed up 2 years ago.'
Go through your tech stack right now and ask these 3 questions for each tool. If a tool fails 2 out of 3, it's a strong candidate for elimination. You'll likely find you can cut 30–50% of your tools without losing any real functionality—and save thousands per year in the process.
